Japan Tourist Visa Application Guide for Indian Citizens with VFS Timeline

Level up, everyone. After weeks of debugging the documentation requirements, I finally compiled a successful application for a Japan tourist visa from Mumbai.

I wanted to share my source code for this process since I noticed many people hit runtime errors with VFS.

The Build (Documents Required):

  • Passport: Must have validity.
  • Photo: 2x2 inch, white background. VFS is strict here; if the dimensions are off, they will ask you to re-shoot.
  • ITR & Bank Statements: I submitted the last 3 years of ITR and 6 months of bank statements.
  • Itinerary: A detailed day-by-day plan. I treated this like a project roadmap—very specific.
  • Cover Letter: Explained the purpose of the trip. Since I was traveling with a group of friends, we mentioned the ‘Group Travel’ aspect clearly to link our applications.

The Timeline:

  • Submission at VFS Mumbai: Day 0 (09:00 AM slot). The queue management was optimized; I was out in 45 minutes.
  • Processing: The consulate processed it in 4 working days.
  • Passport Collection: Day 6.

Log Logs (Tips):
For group travel, make sure your cover letters cross-reference each other. It helps the officer process the batch together. If anyone has questions on the specific formats or the VFS flow, check the logs below and I will try to help.

Logic check. This is awesome detail. I am planning a trip with my dev team next month. Did you push actual fully paid flight tickets to the application, or did you use a dummy booking tailored for the visa? I want to make sure my application is optimized before I push to prod.
